With a directive issued by the Ministry of Labor and Social Security, the ministry began collecting data related to occupational health and safety through web services provided to integrator companies that were registered by the ministry. As of July 1, 2018, employees’ data began to be electronically submitted to the ministry by workplace physicians and occupational safety experts.
The Occupational Health and Safety Information Management System (OHS-IMS), implemented in the field of occupational health and safety, creates a risk map based on the data provided by OHS experts, offering early warnings for workplace accidents and occupational diseases. This enables companies to manage their OHS processes more efficiently and securely. All occupational health and safety procedures, starting from the employee’s first day at work, are managed more easily, improving the working conditions within the company. The system records a wide range of data, including pre-employment medical exams, job change medical exams, accident-related medical exams, return-to-work exams after long-term sick leave, and health reports. The system integrates with all internal platforms within the company, speeding up the workflow. For example, data of an employee who receives a health report is automatically communicated to human resources.
What is OHS-IMS?
In accordance with the Occupational Health and Safety Law No. 6331, businesses have been brought under inspection to ensure a safe working environment and prevent accidents. Following the identification of gaps in occupational safety, the Occupational Health and Safety Information Management System (OHS-IMS) was developed. OHS-IMS allows access to risk data, the measures taken to address those risks, the adequacy of workplace health services, workplace information, and records of machines and equipment used at the workplace.
Key Modules for an Effective OHS-IMS Software
Workplaces use OHS-IMS software to electronically transmit data to ministry servers. Therefore, every workplace must have ministry-approved OHS-IMS software. OHS-IMS software should be designed and implemented in accordance with the corporate identity of the company. Workplace physicians or occupational safety experts use the modules available in the OHS-IMS software to enter data and perform various checks. Some of the essential modules that should be present in the OHS-IMS software include:
- Employee List
- Vaccination Tracking
- Medical Examination Tracking
- E-Prescriptions
- Risk Analysis
- Training Programs
- Training Planning
- Workplace Accidents
- Personal Protective Equipment
